Seeking candidates for a full-time Property Administrator to provide support to Property Manager and Financial Administrator. Responsible for all administrative tasks and operations for Spectrum’s South End portfolio (including Vantage South End). Provide support to Regional Property Manager, Property Manager, and Assistant Property Manager.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Assist with the data entry of accounts payable and receivables by adhering to self-imposed and company schedules and guidelines.
  • Deliver great customer service, tenant and prospective client interaction.
  • Schedule and coordinate successful tenant functions and community service projects.
  • Manage/coordinate any amenity service providers (i.e., food trucks, fitness center, conference center, etc.).
  • Handle tenant requests, complaints, and suggestions in a positive way that establishes and maintains favorable landlord/customer relations.
  • Monitor work orders for maintenance to ensure problems and requests are resolved in a timely manner. Follow up with tenants concerning satisfaction with work done.
  • Collect and maintain current certificates of insurance for all tenants, vendors, and contractors.
  • Maintain building access card and security monitoring system.
  • Manage the operations of the management office, including but not limited to office supplies, snacks, drinks, phones, equipment, etc.
  • Strong leadership and communication skills are essential in order to maintain a professional positive attitude towards all teammates and tenants.

  • Produce quality, error-free work.
  • Maintain and promote a positive work environment and attitude through personal and professional goals in training, education, teamwork, and communication.
  • Provide a high quality of service to the team when handling requests.
  • Complete special projects as requested under supervision of Property Manager.
  • Attend regular staff meetings, prepared and fully engaged.
  • Respond to emails and requests in a timely manner.
  • Manage daily workload with efficiency and utilization of time.
  • Complete other duties and tasks as assigned.

QUALIFICATIONS:

  • Undergraduate Degree and minimum of 2-3 years customer service work experience.
  • Excellent verbal and written communication.
  • Proficient in Microsoft Word, Excel, and Outlook skills and the ability to adapt quickly to new software.
  • Strong organizational skills; ability to prioritize work and attention to detail.
  • Ability to establish strong interpersonal relations with team members, tenants, and vendors.
  • Adaptable to change within the organization and the needs of the tenants and clients.
  • Capacity to work with little direction maintaining confidentiality and professionalism.

Seeking candidates for a full-time Property Administrator to provide support to Property Manager and Financial Administrator. We have 2 open positions – Vantage South End and our SouthPark portfolio. These persons will be responsible for property tasks and operations.

ADMINISTRATIVE:

  • Deliver great customer service, tenant and prospective client interaction.
  • Collect and maintain current HVAC preventative maintenance agreements for all tenants and certificates of insurance for all tenants, vendors, and contractors.
  • Responsible for general office administration and maintaining complete, well-organized physical, as well as electronic files.
  • Assist with completion of non-routine reports and/or other tasks as requested.

TENANT SERVICES:

  • Handle tenant requests, complaints, and suggestions in a positive way that establishes and maintains favorable landlord/customer relations.
  • Support Property Management in the implementation and maintenance of a formal documented tenant relations plan to ensure tenant satisfaction as measured by formal and informal feedback, annual survey results and controllable tenant retention.
  • Manage/coordinate any amenity service providers (i.e., food service, fitness center, auto detailing, etc.).
  • Review all outstanding work order records on a weekly basis to ensure all requests are handled and there are no reoccurring problems.

LEASE IMPLEMENTATION:

  • Become familiar with all tenant and landlord lease obligations and enforce compliance of both parties.
  • Abstract Leases/Amendments for review by PM and send to the accounting department.
  • Immediately revise all necessary reports affected by new or changed leases.

ACCOUNTING:

  • Complete data entry of accounts payable and receivables by adhering to self-imposed and company schedules and guidelines.
  • Continuously build a thorough knowledge of property management accounting.
  • Assist in the management of line-item budget costs for contracts, repairs and maintenance, capital improvement projects, and miscellaneous accounts.
  • Contribute to the training and oversight of accounting clerk, ensuring deadlines are met and information is accurate. Maintain a working knowledge of the Accounting System (MRI and Kardin).
  • Oversee tenant billings.
  • Participate in the preparation of the annual budget to accurately and thoroughly complete assigned deliverables under the direction of Property Management within established timeframes demonstrating a good understanding of the analysis with consideration for the goals of the asset, as well as market conditions.

OTHER:

  • Complete special projects as requested under the supervision of PM.
  • Attend regular staff meetings, prepared and fully engaged.
  • Respond to emails and requests in a timely manner.
  • Provide updates as required on all outstanding assignments and/or special projects.
  • Manage daily workload with efficiency and utilization of time.
  • Identify areas of training needed and develop a program plan to achieve.
  • Promote and foster a positive work environment.
  • Offer solutions to correct deficiencies either brought to your attention or observed personally and be prepared to discuss suggestions to improve.
  • Strong customer focus, highly resourceful, and no job too small attitude.

Development Manager – Charlotte, NC

As Spectrum continues our growth, we are seeking a Development Manager to help lead in the execution of our substantial pipeline.  This is an excellent opportunity for an entrepreneurial, hard-working, and ambitious developer to come alongside an experienced team to grow professionally and be in a position to take advantage of Spectrum’s expanding platform.

 

Position Summary:

The Development Manager will lead the execution of multifamily development deals in various markets throughout the Carolinas, reporting to Spectrum’s Managing Director and providing hands-on management of all aspects of project development.  This individual should be highly collaborative and take pride in the opportunity to deliver best-in-class residential communities while demonstrating a wide variety of business and project management skills with substantial responsibility.

 

Essential Functions:

  • Assisting the Managing Director in the evaluation of sites for multifamily development, including feasibility studies, market assessments, and investment underwriting.
  • Managing all aspects of due diligence for new development opportunities, including evaluating density, entitlement, environmental, title and, geotechnical assessments by third-party vendors.
  • Coordinating entitlement processes, including meeting with municipality officials and conducting community outreach.
  • Assisting the Managing Director with the design process from inception through construction documents, collaborating with Spectrum’s internal construction management group and the project’s consultants to deliver exceptional communities.
  • Collaborate with Spectrum’s construction team to oversee the construction of the development while managing the design and implementation of non-GC property components, including signage, communications, a/v, furnishings, and equipment, etc.
  • Coordinate the marketing, delivery, and operations of properties during lease-up; managing underwritten budgets and leveraging Spectrum’s asset management team to optimize the value of the investment.
  • Ensure that project’s opening is well-coordinated and executed and assist in the disposition of the asset.
  • Leverage Spectrum’s capital management group with investment analyses and offerings by providing market intelligence, including rent comparables, supply/demand fundamentals, demographic and employment insights, and other underwriting assumptions in support of Spectrum’s investment committee, investors, partners, and lenders.
  • Provide periodic project updates, including financials, schedule, and other applicable specifics, to Spectrum leadership.
  • Regular in-town travel and occasional out-of-town and overnight travel required.

 

Education, Experience, and Certifications:

  • Bachelor’s degree from a top university in a related field (MBA or similar is a plus).
  • 5 years of professional experience with a minimum of 3 years related multifamily experience.
  • Excellent knowledge of real estate and development industry, including the development process.
  • Strong interpersonal, negotiation, and communication skills and a positive attitude.
  • Demonstrated project management and team skills with the ability to work in a fast-paced environment, handle multiple concurrent large-scale projects with minimal supervision and work both independently and collaboratively.
  • Proactive, solution-oriented mindset with an interest in continuous improvement and adding value.
